How Verif_Hire Fits Into Your Existing Hiring Workflow

This guide is designed to help your legal, compliance, and procurement teams understand exactly where Verif_Hire sits in the hiring process, what it does, and - critically - what it does not do. You can share this page directly with stakeholders who need to evaluate the tool before approving it for use.

What Verif_Hire Does

Verif_Hire is a contact-information verification tool. When a candidate submits a job application with a name, phone number, and email address, Verif_Hire checks whether those specific data points are real and consistent.

What Verif_Hire Does Not Do

  • It does not pull background checks, criminal records, credit reports, or employment history.
  • It does not score, rank, or rate candidates.
  • It does not use AI, machine learning, or predictive algorithms.
  • It does not make hiring recommendations or decisions.
  • It does not connect to your ATS, HRIS, or any other system in a way that could automatically reject or deprioritize a candidate.
  • It does not store candidate data after the verification completes.

Where the Human Decision-Maker Sits

Verif_Hire is designed to be one input among many in a human-led evaluation process. Here is how it fits into a typical workflow:

Step 1 - Candidate applies. The candidate submits their application with contact information through your normal channels.

Step 2 - Recruiter runs Verif_Hire. A member of your hiring team opens the Verif_Hire browser extension and enters the candidate's name, phone number, and email. They click "Verify."

Step 3 - Verif_Hire returns results. The tool displays whether the phone and email check out, or whether there are flags. Every flag includes the factual reason and a prompt to "Investigate further."

Step 4 - The human decides. The recruiter or hiring manager reviews the Verif_Hire output alongside all other information they have about the candidate and makes their own independent decision.

Step 5 - If adverse action is taken. If your organization decides not to advance a candidate based in whole or in part on information surfaced by Verif_Hire, we strongly recommend following your existing adverse action procedures.

Data Handling - What to Tell Your Legal Team

  • All verification data comes from FCRA-compliant sources. Verif_Hire is a reseller and presenter of third-party verification data.
  • No candidate data is stored. Verif_Hire performs stateless, real-time lookups.
  • No PII leaves the browser except for verification. The only data transmitted is the phone number and email domain (checked client-side against a known list).
  • No consumer files are assembled. There is no profile, dossier, or file created for any candidate, ever.
  • Resume parsing is entirely local. If a user uploads a resume, it is parsed in the browser. The file is never uploaded to or processed by our servers.

Regulatory Positioning

Verif_Hire is not a Consumer Reporting Agency (CRA) under the Fair Credit Reporting Act (FCRA). It does not produce consumer reports. It does not evaluate character, reputation, or personal characteristics. It verifies contact-infrastructure metadata - not personal information about the individual.

Verif_Hire is also not an automated decision-making tool under any applicable regulation (including the EU AI Act, NYC Local Law 144, and Illinois AIPA). It uses no AI, no algorithms, no scoring, and no automation of employment decisions.

Recommended Best Practices

  • Verify uniformly. If you use Verif_Hire for one candidate for a given role, use it for all candidates for that role.
  • Never use a flag as the sole basis for rejection. A flagged observation may have a perfectly legitimate explanation.
  • Document your process. Keep a brief record of how Verif_Hire fits into your hiring workflow.
  • Disclose to candidates. We recommend informing candidates that contact-information verification is part of your process.
  • Follow adverse action procedures. If you take adverse action based in part on a Verif_Hire flag, follow your existing adverse action process.
